University Archives Deposits
Collecting Policy
University Archives is the repository for the historically valuable records of the University of Tennessee, Knoxville. University Archives focuses on materials that document:
- The goals, activities, decisions and policies of university governing bodies, administrative divisions and academic units, including major committees, task forces and other working groups
- The development of campuses and associated infrastructure
- Campus life, which is broadly defined to include the individual and collective experiences of students, faculty, and staff.
University Archives only accepts inactive records designated as having historical and/or permanent value.
Scheduling a Pick up of Materials
If you have materials ready for transfer, please complete the University Archives Transfer Request (form coming soon)
- Collection pickups must be scheduled a minimum of 5 business days in advance. The University Libraries has one vehicle which is used for multiple purposes and is not available without advance notice.
- Please read the description of which materials will and will not be accepted for deposit.
- If possible, keep records in original order (the order in which your office kept them).
- Place records into boxes. If you do not have any, we would be happy to provide some for you.
Criteria for Deposit
Materials appropriate for transfer to University Archives include:
- Official university publications, communications and printed materials. A maximum of 2-3 copies of each publication or printed item will be acquired or retained.
- Official university press releases and promotional material
- Committee records, reports, bylaws, academic program records and self-studies
- Architectural plans
- Correspondence of a substantive nature
Materials that are not appropriate for transfer to University Archives include:
- Active records that are still in use
- Working files and drafts for publications or reports when final versions are available
- Personnel records
- Student records
- Accounting and financial records for routine transactions
- Data entry forms and worksheets
- Artifacts are collected selectively. Usually a photograph of the object is taken as documentation due to space constraints.
- Audiovisual material is acquired selectively depending on the content and availability. University Archives has limited resources to reformate obsolete media.
- Textbooks or faculty book collections
- Plaques, awards, and trophies are usually not accepted.
- Duplicate copies (usually more than two) of any material
